How to Convert CSV to QBO for QuickBooks Import
2 April 2026 · Lars Holmström · 6 min read
If your bank gives you a CSV file but QuickBooks wants a QBO file, you're not alone. QuickBooks Online and Desktop both prefer QBO (or OFX) files for importing bank transactions through Web Connect. CSV imports exist but they're limited — you lose payee data, the column mapping is fiddly, and date format mismatches cause failed imports.
Converting your CSV to QBO solves all of that. Here's how to do it properly, and how to avoid the common problems that trip people up.
What Is a QBO File?
QBO is QuickBooks' variant of the OFX (Open Financial Exchange) standard. It's an XML-based file format that contains structured transaction data — dates, amounts, payee names, memo fields, and unique transaction IDs. When you import a QBO file through QuickBooks' Web Connect feature, it reads all of this data automatically. No manual column mapping needed.
The key advantage over CSV is that QBO files include transaction IDs (called FITIDs) that prevent duplicate imports. If you import the same QBO file twice, QuickBooks recognises the duplicate transactions and skips them. CSV imports don't have this protection.
Why Banks Don't Always Provide QBO Files
Most major banks offer OFX or QBO downloads directly from their internet banking portals. But smaller banks, credit unions, and international institutions often only provide CSV or PDF exports. If you're working with transaction data from multiple sources — bank exports, payment processors, internal systems — CSV is usually the common denominator.
How to Convert CSV to QBO Online
SanctumPDF's CSV to QBO Converter handles this directly in your browser. The process takes about thirty seconds:
- Drop your CSV file onto the converter page. The tool auto-detects your column headers.
- Confirm the column mapping. If your CSV uses non-standard headers, you can manually assign which column contains dates, amounts, and so on.
- Set your date format. If your bank uses DD/MM/YYYY but the converter assumes MM/DD/YYYY, your transactions end up on the wrong dates. SanctumPDF detects the format automatically.
- Download the QBO file. The output is a valid QBO file with proper FITID transaction IDs, ready for QuickBooks Web Connect.
Everything runs in your browser. Your financial data never leaves your device.
Common Problems With CSV to QBO Conversion
Date format confusion. A date like “03/04/2025” could be March 4th or April 3rd depending on your locale. Always verify the date format before converting.
Split debit and credit columns. Some banks export debits and credits in separate columns instead of using positive and negative amounts in a single column. A good converter handles both layouts.
Character encoding. Bank CSVs from non-English-speaking countries sometimes use character encodings other than UTF-8. SanctumPDF handles UTF-8 and Windows-1252 automatically.
Missing headers. Some bank exports don't include a header row. You'll need to manually specify which column is which during mapping.
After Conversion: Importing Into QuickBooks
QuickBooks Online: Go to Banking → Upload Transactions → Browse and select your QBO file → Choose the destination account → Review and accept.
QuickBooks Desktop: Go to File → Utilities → Import → Web Connect Files → Select your QBO file → Map it to the correct account → Review in the Bank Feeds Centre.
What If You Need to Edit Transactions Before Importing?
If your CSV data needs cleanup — fixing descriptions, re-categorising transactions, removing duplicates, or merging data from multiple files — you can open your converted data directly in the SanctumPDF Transaction Editor. Edit inline, apply bulk category rules, normalise dates across files, and then export a clean QBO file ready for QuickBooks.
Other Export Formats
Not using QuickBooks? SanctumPDF also converts CSV to OFX (for Xero, Sage, and Wave), QIF (for Quicken, Reckon, GnuCash, and MYOB), and Excel.
